Kepteasy Inc. ("Kepteasy," "we," "us," or "our") is committed to protecting your privacy and handling your personal information responsibly. This Privacy Policy explains how we collect, use, store, and disclose information when you visit our website, use the Kepteasy platform, purchase our services or digital products, or interact with us in any capacity.

We operate in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), British Columbia's Personal Information Protection Act (PIPA), and other applicable privacy laws. We never sell your personal data to third parties. We do not use your data for advertising purposes beyond the remarketing described in Section 10 of this policy.

This Privacy Policy applies to all of our services, platforms, tools, and products, including kepteasy.com, all subdomains (account.kepteasy.com, consulting.kepteasy.com, web.kepteasy.com, marketing.kepteasy.com), the Kepteasy mobile or desktop app (if any), and all current and future Kepteasy applications and products.

2. Who We Are

Kepteasy Inc. is the legal entity operating all Kepteasy-branded services, platforms, and products. We are a Canadian company based in Victoria, British Columbia. Kepteasy was formerly operated under trade names including Justin Mayer Group, Victoria Website Design, Mayer Digital Agency, Consulting Buddy, Victoria Marketing Agency, Wingman Hosting, Efficient Music and True Mint Blueprints, all of which have been consolidated under Kepteasy Inc.

For the purposes of privacy law, Kepteasy Inc. is the data controller for personal information collected on this website and through our direct services. In the context of the Kepteasy platform (where a pro or agency uses Kepteasy to manage their own clients), the pro or agency is the data controller for their clients' personal data, and Kepteasy acts as a data processor on their behalf.

3. Information We Collect

3.1 Information You Provide Directly

We collect personal information that you voluntarily provide to us, including when you:

  • Contact us through a website form, email, or discovery call booking — name, email, phone number, website URL, and the content of your message.
  • Create a Kepteasy account — name, email, username, password (stored in hashed form), business name, and profile information.
  • Sign up for a newsletter or free download — name and email address.
  • Purchase a subscription, digital product, or service — billing name, email, and payment information (processed by Stripe; Kepteasy does not store raw payment card data).
  • Complete a business profile on the platform — business name, address, tax information, and logo.
  • Book a discovery call — name, email, phone number, and scheduling preferences.
  • Apply for the Founding Users program — name, email, profession, current tools used, and pain points.
  • Participate in live sessions — audio and video data and any content shared during the session.
  • Use platform tools such as the CRM, invoicing, proposals, or contracts — business and client data you enter.

3.2 Information Collected Automatically

When you visit the Kepteasy website or use the platform, we and our third-party service providers may automatically collect certain technical and usage information, including:

  • IP address and approximate geographic location (country, region, city)
  • Browser type, version, and device type (desktop, mobile, tablet)
  • Operating system
  • Pages visited, time spent on pages, navigation paths, and click behavior
  • Referring website or search query that led you to our site
  • Session duration and bounce rate
  • Platform feature usage patterns (for authenticated users)

This information is collected primarily through Google Analytics 4 and Google Search Console, and does not, on its own, directly identify you as an individual.

3.3 Data From Third-Party Integrations

If you connect third-party accounts to Kepteasy (such as Google Analytics, Google Search Console, or Stripe), we receive data from those services as authorized by you. The scope of data received depends on the permissions you grant. We only access data necessary to deliver the relevant integration feature.

3.4 Client Data (Platform Users — Pros & Agencies)

If you are a pro or agency using the Kepteasy platform to manage your clients, you may enter your clients' personal information into the platform (such as names, email addresses, project details, and communications). You are the data controller for this information. Kepteasy processes it only as necessary to deliver the platform services. You are responsible for ensuring your collection and use of your clients' data complies with applicable privacy laws and that you have obtained any necessary consents.

4. How We Collect Information

We collect information through the following means:

  • Directly from you: When you fill out forms, create an account, make a purchase, book a call, or communicate with us.
  • Automatically: Through cookies, tracking pixels, analytics tools, and server logs when you use our website or platform.
  • From third-party integrations: When you authorize a third-party connection within the platform.
  • From payment processors: Transaction confirmation and status information from Stripe or other payment providers.
  • From live sessions: Audio, video, and transcription data when you participate in a session through the platform's Live Sessions feature.

5. How We Use Your Information

We use the information we collect for the following purposes:

Service Delivery

  • To create and manage your account and organization on the platform.
  • To process payments, issue invoices, and manage subscriptions.
  • To deliver consulting, marketing, or web services you have engaged.
  • To fulfill purchases of digital products and provide download access.
  • To enable platform features including messaging, live sessions, file sharing, proposals, and e-signatures.
  • To process and respond to discovery call bookings and general inquiries.
  • To send transactional communications (booking confirmations, invoices, account notices).

Platform Improvement

  • To analyze how the website and platform are used in order to improve features, fix issues, and enhance the user experience.
  • To monitor platform performance, security, and reliability.
  • To identify and address bugs, errors, and support issues.

Communications

  • To send limited follow-up emails in connection with a discovery call or open inquiry (typically 1–3 emails).
  • To send newsletters or marketing emails to subscribers who have opted in with double confirmation.
  • To communicate platform updates, new features, or policy changes to registered users.
  • To respond to support requests, feedback, and bug reports.

Legal & Compliance

  • To comply with applicable laws and regulations.
  • To enforce our Terms of Service and protect against fraud, abuse, and unauthorized access.
  • To maintain transaction records and audit trails as required by law or contract.

6. Platform-Specific Data Practices

6.1 Live Sessions & Transcription

The Kepteasy platform includes a Live Sessions feature powered by LiveKit. Live sessions may be recorded and automatically transcribed using OpenAI Whisper. By participating in a live session, you acknowledge and consent to your audio and video being processed for these purposes.

Session recordings and transcription text are stored on Cloudflare R2 (secure cloud object storage) and are scoped to the organization account of the pro or agency that hosted the session. The hosting pro or agency controls access to recordings and transcriptions within their organization. Kepteasy personnel do not access session content except as required for technical support or security investigations.

It is the responsibility of the pro or agency to ensure that all session participants have been informed of and consented to recording and transcription prior to the session beginning, as required by applicable law.

6.2 CRM & Client Data

Pros and agencies may use the platform's CRM to store information about their clients and leads. This data is stored within the platform's database, scoped to the pro or agency's organization, and is not accessible to other organizations or to Kepteasy beyond what is required to deliver platform services.

6.3 Analytics Integrations

Pros and agencies may connect their clients' Google Analytics 4 and Google Search Console accounts to the platform's analytics features. When this integration is established, Kepteasy accesses data from those accounts solely to display it within the platform for the authorized user. This data is not retained independently or used for any other purpose.

6.4 Trading & Investing Platform Data

When launched, the Trading Analytics Platform (TAP), MEEA, Edge Analysis, and Quantitative Fundamental Analysis (QFA) tools will collect trading journal entries, performance data, psychological scoring data, and investment analysis preferences entered by users. This data is personal and is used solely to provide the tool's features to the individual user. It is not shared with any third party or used for any commercial purpose outside of service delivery.

6.5 Website Care & PageSpeed Data

The platform's Website Care and Health Overview features retrieve publicly available website performance data (using Google PageSpeed Insights API) for websites linked to a user's projects. This involves sending the website URL to the Google PageSpeed API and displaying the results. No personally identifiable information is transmitted through this process.

7. Third-Party Services & Data Processors

We use third-party services to operate our website and platform. These services may process your personal information on our behalf. Each provider has their own privacy policy and data processing terms, and we ensure we only engage providers with industry-standard security and compliance practices.

Stripe / Stripe Connect

Payment processing for subscriptions, digital product purchases, and client invoicing. Kepteasy does not store raw payment card data. Subject to Stripe's Privacy Policy.

Google Analytics 4 & Google Search Console

Website traffic analysis, search performance data, and user behavior analytics. Google's privacy policy applies. Data collected is used for site improvement and does not include personally identifiable information in its raw form.

LiveKit

Real-time video and audio infrastructure for Live Sessions. Audio and video streams are processed through LiveKit's infrastructure. Subject to LiveKit's Privacy Policy.

OpenAI Whisper (Transcription)

Automated transcription of live session audio. Session audio is transmitted to OpenAI Whisper for transcription and then returned as text. Transcription data is stored on Cloudflare R2. Subject to OpenAI's Privacy Policy.

Cloudflare R2

Secure cloud object storage for session recordings, transcriptions, and platform files. Subject to Cloudflare's Privacy Policy.

Google PageSpeed Insights API

Used for Website Care and Health features to retrieve publicly available performance data for user-linked websites. Only website URLs are transmitted; no PII is involved.

Email Service Provider

We use a third-party email service to send transactional emails (booking confirmations, invoices, account notifications) and, where opted-in, newsletters. Name and email addresses are shared with this provider solely for the purpose of sending those communications.

Future / Additional Integrations

As the platform evolves, additional third-party services may be added. This Privacy Policy will be updated to reflect any material new data processors. Platform-specific integration options (such as calendar tools or additional analytics providers) will disclose their data handling at the point of connection.

8. Data Storage & Security

All personal data we collect is stored on secure servers. Primary platform data is stored in Canada where technically feasible, though some data may be processed or stored by third-party providers whose infrastructure is located in other jurisdictions (including the United States) subject to their respective privacy and security standards.

We implement security measures appropriate to the nature of the data we hold, including encryption in transit (HTTPS/TLS), hashed credential storage, multi-tenant data isolation at the application and database level, and access controls limiting data access to authorized personnel only.

No system is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security. You are responsible for maintaining the security of your own account credentials and any connected integrations.

We will notify affected users of any data breach in accordance with our obligations under applicable law.

9. Who We Share Your Data With

We do not sell, rent, or trade your personal information. We share your data only in the following limited circumstances:

  • Service Delivery: With third-party service providers and data processors (as listed in Section 7) to the extent necessary to provide our services. Each is contractually bound to use your data only for the specified purpose.
  • Within the Platform (Multi-Tenant): Pro and agency users share certain data with their invited clients within their organization's portal. Data is not shared across organizations.
  • Legal Compliance: If required by law, court order, or governmental authority, or to protect the rights, safety, or property of Kepteasy, its users, or the public.
  • Business Transfers: In the event of a merger, acquisition, sale of assets, or corporate restructuring involving Kepteasy, your data may be transferred as part of that transaction. We will notify affected users in advance where required by law.
  • With Your Consent: In any other circumstance where you have explicitly consented to the sharing.

We do not share your personal information with advertisers or third parties for advertising targeting purposes, except as described in the remarketing section below.

10. Cookies, Tracking & Remarketing

10.1 Cookies We Use

We use cookies and similar tracking technologies on our website and platform. Cookies are small files placed on your device that enable certain functionality and help us understand how the site is used. We use the following types of cookies:

  • Essential cookies: Required for the platform to function, including session and authentication cookies. These cannot be disabled without affecting platform functionality.
  • Analytics cookies: Used by Google Analytics 4 to collect anonymous usage statistics. These help us understand how visitors use the site so we can improve it.
  • Remarketing cookies / pixels: We may use Google Ads and/or Meta (Facebook) remarketing pixels to show Kepteasy ads to people who have previously visited our website. The data used for remarketing is cookie-based and anonymous — it does not personally identify you by name.

10.2 Remarketing

You may see Kepteasy advertisements on Google, YouTube, Facebook, Instagram, or other platforms after visiting our website. This is a standard digital marketing practice known as remarketing. The audiences used for remarketing are anonymous and cookie-based. We do not use personally identifiable information for remarketing targeting.

You can opt out of personalized advertising through Google's Ad Settings at adssettings.google.com, through the Network Advertising Initiative opt-out tool, or through your Facebook ad preferences settings.

10.3 Managing Cookies

You may disable non-essential cookies through your browser settings. Note that disabling cookies may affect certain platform functionality. Our site may display a cookie consent notice, and you can manage your preferences there. We cannot guarantee the availability of all opt-out mechanisms due to ongoing changes in browser and advertising platform privacy standards.

11. Marketing Communications

11.1 Newsletters & Email Marketing

We only send marketing emails (newsletters, promotional content, or product updates) to individuals who have explicitly opted in, using a double opt-in confirmation process. If you sign up for a newsletter or free download, you will receive a confirmation email before being added to any marketing list.

Every marketing email we send includes an easy one-click unsubscribe link. You may unsubscribe at any time. Unsubscribing from marketing emails does not affect transactional communications related to your account or services.

11.2 Transactional & Service Communications

We may send transactional or service-related emails that are necessary for the delivery of our services, including booking confirmations, invoices, account notifications, password resets, and platform alerts. These communications are not marketing emails and are not subject to marketing unsubscribe requests.

11.3 Discovery Call Follow-Up

If you book a discovery call or submit an inquiry, we may send up to 3 follow-up emails if we have not received a response or if the call was not attended. These follow-ups are designed to provide continuity and are not marketing solicitations. If you do not wish to receive follow-up emails, you may indicate this at any time by replying to any such email or contacting us.

12. Your Rights

As an individual whose personal information we hold, you have the following rights under applicable Canadian privacy law:

  • Access: You have the right to request access to the personal information we hold about you and to receive information about how it is used and disclosed.
  • Correction: You have the right to request correction of any inaccurate or incomplete personal information we hold about you.
  • Deletion: In certain circumstances, you have the right to request deletion of your personal information. Note that some information may be retained for legal, contractual, or legitimate business purposes even after an account is closed.

The Kepteasy website, platform, services, and digital products are not directed at individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. 15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time as our services evolve and as privacy laws change. When we make material changes, we will update the Effective Date at the top of this page.
